1. Who we are

StudioFlow is a product of FluxWillow ("we", "us", "our"). We provide studio management software for yoga, Pilates, martial arts, and dance studios. Our website is studioflow.fluxwillow.com.

2. Information we collect

Studio owners (subscribers):

  • Name and email address when you register
  • Studio name, address, phone number and logo when you set up your profile
  • Billing information — handled entirely by Paddle (our payment processor). We never store your card details.
  • Usage data — pages visited, features used, error logs

Studio members (your customers who book classes):

  • Name and email address when they book a class via your public booking page
  • Booking history and attendance records
  • Membership plan and payment records (manually recorded by studio owners)

3. How we use your information

  • To provide and operate the StudioFlow service
  • To send booking confirmation and class reminder emails to studio members
  • To process subscription payments via Paddle
  • To send service-related communications (billing receipts, product updates)
  • To improve the product based on usage patterns
  • To respond to support requests

We do not sell your data. We do not use your data for advertising.

4. Data sharing

We share data only with the following third parties, strictly to operate the service:

  • Paddle — payment processing and subscription management. Paddle acts as Merchant of Record and handles all billing. Paddle Privacy Policy

  • Google Analytics — anonymous website traffic analysis. No personal data is shared.

We do not share your data with any other third parties.

5. Data retention

We retain your data for as long as your account is active. If you delete your account, your data is soft-deleted and permanently purged within 30 days. Studio member data is retained for the lifetime of the studio account that owns it.

6. Your rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Opt out of non-essential communications

7. Cookies

We use only essential cookies required to operate the service (session authentication). We do not use advertising or tracking cookies. Google Analytics uses anonymised data and does not identify individual users.

8. Security

We use industry-standard security practices including HTTPS encryption, hashed passwords, and secure session management. Payment card data is never stored on our servers — all billing is handled by Paddle.

9. Changes to this policy

We may update this policy from time to time. We will notify subscribers by email of any material changes. Continued use of StudioFlow after changes constitutes acceptance of the updated policy.
